1. Start by assessing your hardware and software assets

If you were forced to protect only one device in your company, would you choose the accounting server, e-mail server, or the e-commerce server? It all depends on what is most important to your company. If your business mostly does business over the Internet, the latter is probably the critical machine to safeguard.

When creating your security plan, pay attention to securing the IT assets that impact your business the most, and work your way down the prioritization list from there. But don’t just think about devices, warns Tim Keanini, CTO of San Francisco-based security vendor nCircle. He recommends thinking about business processes as well — that is, the flow of information, as opposed to just the location of information.

This means you have to get your trading partners involved in the security discussion. For instance, if your shipments rely on getting inventory updates from your suppliers, you need to think about two things: the reliability of the network connection, and how your suppliers are addressing information security themselves.

2. Develop enforceable policies

To keep security costs down, focus on the probable more than the possible. It is a lot more probable that an employee will keep a password on a piece of note paper than a malcontent is going to launch an attack on your networks. (That is one advantage of being a midsize company — you’re probably less likely to be a target than a larger company with a household name.)

Therefore, you need rational policies, and a management team willing to spend the time explaining clearly to employees the reasons for those policies. A few guidelines for developing a policy include:


Ensure that your employees keep their Windows and Office systems and business applications up to date, with the latest downloads, security bulletins, and tools from Microsoft. See this article for a checklist of security tips for employees, as well as the Microsoft Security page for software updates.


Require strong passwords (those that contain numbers, letters, and characters), but don’t require that employees change them every two weeks: 45 to 90 days is a standard range.


Make sure your policies employ the concept of role-based security by allowing access based on job responsibilities.


Be clear in your policy document about the ramifications of noncompliance, and follow through if and when that happens.


Review policies on a regular basis, and inform employees of changes.


When employees change jobs, review and change their access privileges accordingly.


When employees leave the company, erase their passwords from the system.


Know that employees can be your biggest security risks, and often because of lack of proper training rather than malfeasance. (For more on this topic, see this article.)


Include a mobile security policy, for employees traveling or working off-site. See more on this in Step No. 5 below.

Finally, make sure the policy lays out a plan of action if a security problem arises, and designate responsibility for certain decisions, advises Mark Mattis, a principal at Bellevue, Wash.-based Ascentium, a Microsoft Gold Certified Partner.

3. Invest in multiple servers to help protect data

Once you have determined your priorities and policies, then think about protection. One way to protect important information is simply to segment this data on separate servers, with each server separated by an internal firewall. In addition, be sure to segment your public Web server from your internal network.

If you began as a small business, you probably didn’t think about the ramifications of giving employees access to multiple servers but now that you are larger, it’s time to do so. "There's no reason your salespeople and support staff need access to the accounting servers," explains Jeff Jones, director of Microsoft's security and technology unit.

Gary Chen, an analyst who focuses on midsize business issues at Boston-based Yankee Group, recommends using virtual private network (VPN) technology for remote access, as it includes encrypted and secure authentication.

Make it a point to invest in mobile devices that have what is known as a "kill" capability, Chen recommends. If the devices are lost, the server they are designed to connect to can send a signal that renders the mobile operating system useless. That way, data can’t be taken off the device, and the device cannot access the host.

Are IMac Locks The Perfect Computer Security Hardware?

If you thought that the data in your iMac is safe behind one Windows password or an iMac lock you've got rethink. Because unless you changed the default, anyone can just boot your iMac using a floppy disk or even CD-ROM and wander around your folders and files like a tomb rider. All these efforts are for one main objective to keep the system safe; your iMac off the wrong hands. Despite these to have the boot-up password disabled is not a big deal and it isn't that difficult to take off the hard disk, frisk all the files and folders and replace with no signs of tampering too. So how to keep the intruders off your expensive iMac? Locks that come in the $30 range will be effective for simple systems and not an iMac. Lock that is made for iMac will serve the purpose; G5 custom locks or an Apple MacPro locks do. There are advanced physical security devices including iMac plate lock devices that are barely visible yet offering very good computer security.

In cases of underperformance an employer may use this method to check on an employee's activity – it may expose time wasted on web surfing, instant messaging or time spent on social networking sites, time which should be spent working.

Parents worried about the safety of their children when online can use keyloggers to monitor their activity. I know this may raise huge questions about trust, but parents have to balance this against the potential dangers presented by the unscrupulous and devious in our society who try to groom children for unsavoury purposes. It's a hard fact of life but there is a category of low-life who prey on the young and unsuspecting. If using this technology gives a parent peace of mind and ensures their kids stay safe then I regard it as a legitimate use.

Key logging recorders can be small hardware devices – small and usually unnoticed hardware keylogger devices inserted between the keyboard and the system unit can record every single keyboard input.   A microcontroller interprets the data, and stores information in memory and just like a USB key drive will retain information even without being connected to a power source. Some of these devices can store up to 12 months of data entry. Every account reference, every password can be recorded. These hardware devices are quick and easy to install, just plug them in. They can also quickly be removed or moved to another computer.

Keyloggers can also be a software program which resides inside your system – a much harder thing to spot. I've seen some software versions advertised as a means to catching a cheating spouse or partner. To some people the suspicion that they are being cheated on can cause great heartache and anxiety which eventually becomes unbearable. In such cases
they may invest in a product which may tell them one way or another if their suspicions are valid or not.

There are clearly legitimate reasons why people use keystroke recording methods as part of a security or surveillance activity. However, this also raises the question of what can happen when the criminal element use these methods on the unsuspecting computer user.

A physical security search of all computer hardware to identify the presence of hardware keylogger devices may seem like a tedious task – it is, but then again compare this with the theft of important data and the potential consequences if this found its way into the hands of the criminal fraternity. Perhaps that search wasn't so tedious after all.

If being used covertly hardware keyloggers have to be deliberately connected by someone who has physical access to the computer in question. Software versions do not! It is the software versions which give rise to the greatest concern.

Users may unwittingly download the software version when visiting a website or when they download other legitimate content from the net. The software version can sit undetected hidden somewhere amongst your system files capturing every keystroke you make and relaying them to someone who could be anywhere in the world. That's every password, credit card number, bank details etc. – everything a criminal would need to start spending your
hard earned money.

It's the software version which is the real threat to the general personal computer user.
